We’re looking for an Operations Specialist to join our growing Ottawa office. In this role, you’ll be at the heart of our business — managing orders, overseeing purchasing activities, ensuring stock availability, and handling customs and compliance matters.

What You’ll Do:
Order Management & Coordination
- Communicate daily with international B2B customers, providing updates and support.
- Process customer orders from entry through to invoicing with accuracy and efficiency.
- Schedule and match incoming vendor orders to outgoing customer orders, issuing timely confirmations.
- Prepare operational reports, overviews, and evaluations.
- Serve as a back-up for the Logistics Coordinator when required.
- Plan and monitor warehouse stock levels using our ERP system (Navision) in alignment with sales forecasts.
- Create purchase orders, review confirmations, and track delivery schedules to ensure material availability.
- Coordinate procurement planning and requests for quotations.
- Act as a primary contact for customs and foreign trade matters.
- Manage customs permits and approvals, and prepare relevant documentation.
- Maintain and share customs-related information with other departments.
- Support export processes and ensure compliance with applicable regulations.
- Identify and implement improvements to procedures and workflows.
- Collaborate across Purchasing, Warehousing, Sales, and Logistics to streamline operations.
